Docs - letters and documents
Write letters, memos, reports and policies in your browser, then print them or save them as PDF or Word. Premium and Premium+.
Docs lets your people write letters and documents right in Smile Business, and keeps them in your Files. It comes with Premium and Premium+.
Make a document
- In Files, click New → Document - or open Docs in the sidebar and click New document.
- Give it a name, choose where to save it, and pick a starting point:
| Template | What you get |
|---|---|
| Blank | An empty page |
| Letter | A formal letter with your organisation’s name, the date and your name filled in |
| Memo | To, from, date and subject, ready for your message |
| Meeting notes | Agenda, notes and a table for actions |
| Report | Summary, details and next steps |
| Policy | Purpose, who it applies to, the rules and who to ask |
- Click Create. The document opens straight away.
Write
The toolbar has text styles (title, heading, subheading, quote), text size, bold, italic, underline, strikethrough, bulleted and numbered lists, alignment, links, tables and a dividing line. Clear takes formatting off the selected text.
Everything saves as you type - the top bar shows Saving… and then Saved. Rename the document by clicking its name at the top.
| Key | What it does |
|---|---|
| Ctrl+B / I / U | Bold, italic, underline |
| Ctrl+K | Add a link |
| Ctrl+S | Save now |
| Ctrl+P | Print or save as PDF |
Print, PDF and Word
- Print or PDF prints just the page - choose Save as PDF as the printer to get a PDF.
- Word downloads the document as a file Microsoft Word, Google Docs and LibreOffice can open.
Working together
Anyone who can see the document can edit it. If two people edit at once and someone else saves first, you’re told and asked to reload, so nobody’s changes are lost without them knowing.
OpmerkingIf your organisation moves to Standard, documents you already have stay - you can still open, print and download them, but not change them.
