Mailboxes and aliases

Give your organisation's people mailboxes, extra addresses and shared group addresses.

Updated 4 Oct 20262 min read

All of this is in the Admin area of SmileMail. Regular organisations use @smilemail.us.ci by default. You can also select a managed subdomain or a verified custom domain; see Choose your email domain.

Addresses are shared across all of SmileMail, so if a name is already taken - by anyone - you’ll be asked to pick another. Including your organisation’s name, such as jane.acme, keeps things tidy and avoids clashes.

Create a mailbox

A mailbox is one person’s address and inbox.

  1. Go to Mailboxes.
  2. Pick the Member it belongs to.
  3. Type the Address - the bit before @. For example, jane.acme becomes [email protected] on the default domain.
  4. Select the domain for the address, then click Create. The list shows each mailbox’s address, owner and storage used.

Each member can have one mailbox in your organisation. They read it from their Dashboard.

Tip

Some names are reserved and can’t be used by anyone - things like support, billing, admin, info and postmaster - so nobody can pretend to be Smile.

Aliases

An alias is an extra address that delivers into an existing mailbox. Good for things like acme-orders@ that one person looks after.

  1. Go to Aliases.
  2. Pick the Mailbox it delivers to.
  3. Type the Alias, such as acme-orders.
  4. Click Add.

Distribution groups

A distribution group is one address that reaches several people - handy for a sales or support team.

  1. Go to Distribution Groups.
  2. Enter a Name (for example Sales team) and an Address (for example acme-sales).
  3. Create it, then use the picker on the group to add the mailboxes it should deliver to.

Mail sent to the group lands in every member’s inbox. A suspended mailbox doesn’t receive group mail until it’s reactivated.

Keep an eye on storage

Storage usage shows your organisation’s storage pool and how much each mailbox is using. If someone keeps running out, give them a higher licence.
