Set up your organisation
Create your organisation, invite people, and organise them into groups.
Create the organisation
- Go to mailing.smilehosting.tech and sign in with your Smile account.
- Enter your Organisation name and click Create my organisation.
You own the organisation, and you can own one. If someone has already invited you to theirs, the invitation is listed on the same page - accept it instead.
Choose your email domain
Every regular organisation starts with the default @smilemail.us.ci domain, which needs no DNS setup. You can create mailboxes with it straight away.
If you want branded addresses, open Domains in the Admin area:
- Add a managed subdomain to use an address such as
[email protected]; SmileMail configures this for you. - Or add a custom domain that your organisation owns. Add the DNS records SmileMail displays at your domain provider, then use the domain check in SmileMail.
- Wait until the domain is verified before selecting it for mailboxes. The Domains page shows the available options and your organisation’s limits.
You need access to the custom domain’s DNS settings to add its records. See Mailboxes and aliases when you’re ready to create addresses.
Invite people
- Open Admin and go to Invitations.
- Enter the person’s email and pick a Role:
- Member - uses their mailbox.
- Admin - can also manage the organisation’s users, mailboxes and aliases.
- Click Send invite. They accept it when they next sign in to SmileMail.
Everyone you’ve invited is listed under Users, with their role and status.
Groups
Groups help you organise people - by team, by location, however suits you. Under Groups, enter a name and description and click Create.
To give a group its own email address that reaches everyone in it, use a distribution group instead - see Mailboxes and aliases.
Next, give your people mailboxes.
Organisation settings
Under Settings you can edit your Organisation profile, and Transfer ownership to another active member. You become an admin when you hand it over.
NotaYour password, two-factor authentication and passkeys are managed on your Smile account, not in SmileMail. Security in the admin area links you there.
Billing and licences
Under Billing you can see your Organisation balance, Redeem a gift card, and Upgrade organisation plan. Under Licences, buy per-seat licences by tier and quantity, then assign them to people who need more storage. Order history lists everything you’ve bought.
